Xcademia's quality management system is aligned with ISO 9001. It is not independently certified.
Purpose and scope
This policy sets out how Xcademia Ltd manages the quality of its professional training, mentoring and organisational development services. It applies to all programmes we deliver, whether live virtual, onsite, blended or self-paced, and whether you book as an individual or through an employer-commissioned programme.
Our quality management system is aligned with ISO 9001:2015. Alignment describes the framework we use. It does not represent independent ISO 9001 certification. Our wider quality arrangements are described in the Training Quality Assurance Report 2026.
Our commitment
Xcademia management is committed to the quality of our training and takes responsibility for the effectiveness of our quality management system. We commit to the following.
- Customer focus: we start from the needs of learners and employers, including target roles, starting points and intended outcomes.
- Practical relevance: we teach through labs, simulations and role-relevant projects so that learning can be applied at work.
- Consistent delivery: we use defined programmes, document-controlled materials, trainer suitability checks and delivery readiness checks.
- Compliance: we meet the legal, regulatory and contractual requirements that apply to our services, and we are honest about our approval and certification status.
- Continual improvement: we use feedback, assessment evidence, complaints and review findings to improve our programmes and our system.
Quality objectives
We set quality objectives for the measures below. We describe here what we measure. Specific targets are agreed for each programme or commission, and results are reported for a defined period with cohort size and limitations disclosed.
| Measure | What we look at |
|---|---|
| Participation | Attendance against scheduled sessions, with withdrawals explained. |
| Completion | Completion against the agreed programme requirements. |
| Practical achievement | Assessment evidence against published criteria. |
| Learner experience | Feedback findings and recurring themes, including accessibility and support experience. |
| Workplace application | Learner and employer follow-up against agreed objectives. |
| Service quality | Support and complaint records, resolution times and recurring issues. |
Roles and responsibilities
Responsibilities are assigned by role.
- Management sets this policy, provides the resources needed to deliver it and oversees the quality management system.
- The Quality lead maintains quality records, the policy register and the improvement plan, and prepares management review.
- Programme leads confirm support, adjustment and complaint routes before each programme starts and coordinate issues affecting participation.
- Subject specialists check that content is accurate, current, accessible and consistent with learning objectives.
- Trainers and assessors deliver and assess to the agreed programme and marking criteria and record outcomes accurately.
- Everyone working for or with Xcademia is expected to raise quality concerns so they can be put right.
Communicating this policy
This policy is published on our website, alongside our other policies. We make it available to staff, associate trainers and specialist partners, and we share it with customers on request. We explain what learners can expect from us, how to get support and how to raise a concern before a programme begins.
Review and improvement
Management reviews the quality management system at planned intervals. The review considers feedback, assessment and completion records, complaints, the results of any checks or reviews, the performance of partners and suppliers, changes that affect the system, and the progress of earlier actions.
The review records decisions and actions on opportunities for improvement and any changes needed to the system. Actions are recorded with an owner and a due date and are tracked through to completion. Where something goes wrong, we correct it, find the cause and take action to reduce the chance of it happening again.
We review this policy at least once a year, and earlier following a material change to our services or quality arrangements.
