Xcademia's quality management system is aligned with ISO 9001. It is not independently certified.

Purpose and scope

We want every learner to be able to take part in and benefit from our training. This policy explains how you can tell us about support you need, how we agree reasonable adjustments, and how we handle your information. It applies to all our programmes, including live virtual, onsite, blended and self-paced learning, for individuals and employer-commissioned groups.

We act in line with the Equality Act 2010, including the duty to make reasonable adjustments for disabled people.

A confidential route to ask for support

Our programme planning provides a confidential route for learners to identify support requirements. We confirm this route before each programme starts. You can tell us when you book, before the programme begins or at any point during it. You do not need a formal diagnosis to ask, and asking will not count against you.

You can contact us at info@xcademia.com, on +44 20 8050 4999, through our contact form, or by speaking to your trainer or programme contact.

What happens next

  1. We listen to what you need and what has helped you before.
  2. We agree reasonable adjustments with you and, where the programme is commissioned by your employer and you are happy for us to do so, with your employer.
  3. We record what has been agreed and share it, with your permission, with the trainer or assessor who needs it.
  4. We check during the programme that the adjustments are working and change them if they are not.

Examples of adjustments

What is reasonable depends on the person, the programme and the circumstances. Examples include:

  • clear written instructions;
  • advance agendas and materials;
  • tasks broken into manageable stages;
  • breaks during sessions;
  • additional processing time;
  • alternative ways to take part;
  • choice of platform or venue that takes account of access needs.

Our learning resources use readable layouts and a logical structure, and we consider accessibility when we select platforms and venues.

Adjustments to assessment

Assessment adjustments are intended to reduce avoidable barriers. They must preserve the competence being assessed, so the standard you are assessed against does not change. If an adjustment would change what is being assessed, we will talk to you about alternatives that still allow you to show what you can do.

Access arrangements for external professional examinations and awarding body assessments are set by the exam body, not by us. We will help you understand the process and apply in good time. We distinguish external examinations and awarding body certification from Xcademia's own certificates.

Confidentiality

We share information about your support needs only with those who need it in order to arrange the assistance. Health and disability information is sensitive, and we handle it in line with our privacy policy and data protection law.

If something is not working

If you are not getting the support we agreed, or you disagree with a decision about an adjustment, tell us. You can use our Complaints and Appeals Procedure. We use what we learn from learner feedback and support requests to improve how we plan and deliver programmes.

  • Quality Policy: How Xcademia plans, delivers and improves its training, and the quality objectives we measure under our ISO 9001 aligned system.
  • Complaints and Appeals Procedure: How to raise a complaint or assessment appeal with Xcademia, the stages and timescales we follow, and where to go if you are still not satisfied.
  • Assessment and Certification Policy: How we design and mark assessments, quality assure decisions, and issue Xcademia completion and achievement certificates you can verify online.
  • Supplier and Delivery Partner Management Policy: How Xcademia selects, briefs and monitors specialist partners and associate trainers, and why we stay responsible to our customers for their work.
