Purpose and scope

This statement explains how Xcademia plans for events that could disrupt our training, so that we can keep delivering to learners and customers or recover quickly. It supports ISO 9001:2015 requirements to address risks to our services (clause 6.1) and to plan and control how we deliver them (clause 8.1).

Our business continuity policies are aligned with ISO 22301 principles. Alignment describes the framework we use. It does not represent ISO 22301 certification.

What our delivery depends on

We identify the things our programmes rely on and consider what could go wrong with each. These include:

  • trainers and assessors;
  • learning platforms, video conferencing and learner access to materials;
  • venues and equipment for onsite sessions;
  • lab and simulation environments;
  • specialist partners and other suppliers;
  • our own systems and records.

Before delivery we check learner communications, platform access, resource availability, venue suitability and support requirements, so that problems are found early.

Alternative teaching arrangements

If a session cannot go ahead as planned, we choose the arrangement that best protects the learning and the learners. Options include:

  • moving a live session online, for example if a venue becomes unavailable;
  • substituting a suitably qualified trainer, checked against our trainer suitability records;
  • rescheduling the session to a new date;
  • providing recorded or self-paced material to cover the gap, where that is appropriate to the learning outcomes;
  • changing the order of sessions while keeping the programme coherent.

Where an arrangement affects accessibility or an agreed adjustment, we check that learners can still take part. Where it affects assessment, we make sure that the competence assessed is not changed.

Recovery priorities

When several things are affected at once, we recover in this order of priority.

  1. The safety and wellbeing of learners, staff and trainers.
  2. Protection of personal data and customer information.
  3. Programmes that are in progress, especially those with assessments or external examinations scheduled.
  4. Programmes due to start soon.
  5. Administrative and business functions needed to support the above.

Communicating when a session is affected

If a session is affected, we tell the learners and the customer as soon as we reasonably can. We explain what has changed, what the new arrangement is and what, if anything, learners need to do. Learners can contact their programme contact, or reach us at info@xcademia.com or on +44 20 8050 4999. If you are unhappy with how a disruption was handled, see our Complaints and Appeals Procedure.

Our terms and conditions set out the position on rescheduling and refunds.

Testing and review

We review our continuity arrangements at least once a year, and after any disruption that has affected delivery. Reviews consider what happened, how well we responded and what should change. We test key arrangements, for example access to alternative platforms and cover for trainers, and record the results and any actions. Management considers continuity risks as part of management review.
